Providing preliminary information and submitting a request

 

Vessels arriving in Finnish ports

 

1. Preliminary information:

The customer provides the Pilot Order Centre with weekly lists and any changing preliminary information via e-mail or fax. 

 

The vessel’s agent or the vessel provides the Pilot Order Centre with 24 and 6 hour advance notice of the vessel’s arrival at the pilot boarding point (by order form, e-mail, fax or telephone).

 

2. Request:

The vessel’s agent or the vessel submits their binding pilotage request with the Pilot Order Centre 3 hours prior to the vessel’s arrival at the pilot boarding point (by order form, e-mail, fax or telephone).

 

If necessary the pilot contacts the vessel via VHF when the vessel is less than 1 hour away (does not work in Lake Saimaa area).

 

 

Vessels departing Finnish ports

 

1. Preliminary information:

The vessel’s agent or the vessel provides the Pilot Order Centre with 24 and 6 hour advance notice before the vessel departs from the port (by order form, e-mail, fax or telephone).

 

2. Request:

As a general rule, the vessel’s agent or the vessel submits a binding pilotage request with the Pilot Order Centre 2 hours prior to the vessel’s departure from port (by order form, e-mail, fax or telephone).

 

 

Confirmation notice

The Pilot Order Centre will send a confirmation notice to the device which was used to send the information or the request.

 

An order made via web can also be confirmed by email, if the email address is included in the order information.

 

Preliminary information or a request submitted via telephone is not confirmed separately following the phone call.

 

 

Safety guidelines for vessels requiring pilot assistance

 

Vessels to be piloted must adhere to the international operational and safety recommendations concerning pilot transfer arrangements*.
